Free Excel delivery note template: what it is for and how to fill it in

A delivery note proves what was delivered, when and to whom. In a dispute over a quantity or a damaged item, it is the document that counts. The free template on this page takes a few minutes to fill in.

What a delivery note is for

  • Proving the goods were handed over to the customer.
  • Comparing what was ordered with what was delivered.
  • Recording reservations: missing, damaged or extra items.
  • Serving as the basis for the invoice and for stock tracking.

What it must contain

  • A number and a delivery date.
  • The sender and the recipient, with the delivery address and a contact.
  • For each item: description, unit, quantity ordered and quantity delivered.
  • The quantity still to deliver, when the delivery is partial.
  • The driver’s signature and the customer’s, with the date of receipt.

Filling in the template

Fill in the yellow cells. The remaining quantity calculates itself (ordered minus delivered) and the total delivered appears at the bottom. There is room for twenty items and a signature box for each party.

Using delivery notes well

  • Have two copies signed: one for the customer, one for you.
  • Count with the customer, in front of them, before signing.
  • Write reservations on the note straight away, before the signature.
  • File notes by number and keep them with the invoices.
  • Update the stock as soon as the delivery is made, not the next day.
